To strengthen its administration team at the CTAO headquarters in Bologna, Italy, the CTAO Central Organisation is seeking to hire a Travel and Office Manager.

Your key responsibilities:

  • Plan, coordinate, and monitor the booking of travel arrangements for employees and guests, including flights, accommodation, and transportation
  • Track travel expenses and assist with budget management and reporting
  • Coordinate and manage the travel expense reimbursement process
  • Oversee day-to-day office operations, including maintenance of facilities, supplies, and equipment
  • Manage vendor relationships and negotiate contracts for office services and supplies
  • Coordinate internal meetings and organize events
  • Implement and maintain travel and office policies and procedures to enhance productivity
  • Provide assistance to the Health and Safety Manager in the implementation of the related requirements
  • Support the international relocation process of new hires
  • Supervise Travel and Office staff (currently one person) and provide support as needed

Your skills and qualifications:

  • 5+ years of experience in office management and/or travel management.
  • Bachelor’s degree in business administration, hospitality management, or a related field. Additional masters and courses on the topic will be considered an advantage.
  • Knowledge of travel regulations and industry trends.
  • Excellent communication skills and interpersonal skills, in particular, in English. Working knowledge of Italian is an important asset, and knowledge of German and/or Spanish would be an advantage.
  • Proven problem-solving and decision-making abilities.
  • Proactivity and creativity are your strengths when it comes to dealing with issues.
  • Ability to work independently and as part of a team.
  • Customer-focused attitude with a commitment to providing high-quality service.
  • Willingness to learn and adapt to new technologies and processes.
  • Time management skills with a focus on meeting deadlines. Working experience in an international environment is considered a plus.
